Rental Terms
All vehicle rentals are governed by a comprehensive Rental Agreement provided at the time of booking confirmation or vehicle pickup. This document outlines specific terms, conditions, insurance information, fees, and your obligations related to the rental. In the event of any discrepancies between these Terms and the Rental Agreement, the Rental Agreement will prevail.
Eligibility Criteria
Requirements for Vehicle Rental
- To hire a vehicle from Car Hire in Staines, you must be at least 21 years old, though age restrictions may vary depending on the vehicle type, with possible extra fees for drivers under 25. A valid driving licence suitable for the vehicle category is required, held for the duration outlined in the Rental Agreement. You will need to present valid identification and proof of your current address, along with valid payment information and a security deposit. Any other requirements specified in the Rental Agreement must also be met.
Booking and Payment Process
- Reservations can be placed via our website, over the phone, or directly at our Staines office. A deposit may be necessary to confirm your booking. The remaining balance and security deposit are generally payable upon vehicle pickup. All rates are listed in British Pounds (£) and include applicable VAT. We accept major credit and debit cards, with secure processing through trusted payment providers.
Vehicle Pickup and Drop-off
- At the time of collection, it is essential to conduct a thorough inspection of the vehicle and report any pre-existing damage without delay. A vehicle condition report will be generated and must be signed by both parties. The vehicle should be returned in the same condition as it was collected, excluding normal wear and tear. Any new damage will be evaluated and fees applied accordingly. It is also important to return the vehicle with the same fuel level as received; refueling fees will be incurred if the tank is lower. Late returns may result in extra charges, so please inform us promptly if you anticipate a delay. You are liable for any parking fines, traffic violations, or charges incurred during your rental period, along with an administration fee.
5. Coverage and Responsibility
- All rentals come with basic third-party insurance. You can find complete coverage details and any excess amounts in your Rental Agreement. Additional insurance options may be offered to help lower your financial liability. It's advisable to review these options thoroughly. You will be liable for damage or loss up to the excess amount unless you have additional coverage. Any damage resulting from negligence, misuse, or violation of these Terms remains your responsibility, regardless of insurance.
Cancellation and Modifications
Cancellation and amendment policies differ based on the type of booking and the notice given. For precise information, please consult your booking confirmation or Rental Agreement. Be aware that late cancellations or no-shows could incur additional charges.
Prohibited Activities
Prohibited Uses of the Vehicle
- Use of the vehicle for illegal activities is prohibited. This includes participation in racing, rallying, off-roading, or any other dangerous driving practices. Transporting hazardous materials or sub-letting the vehicle to others is not allowed. Driving under the influence of alcohol or drugs is strictly forbidden. Ensure compliance with passenger and weight limits, and obtain prior consent for travel beyond designated geographical areas.
Breach of these terms may lead to rental termination and fees.
8. Liability Limitations
To the fullest extent allowed by English and Welsh law, Car Hire Staines will not be responsible for any indirect, incidental, special, or consequential damages, including loss of profits, data, or business, that may arise from your use of our services. Our total liability for any claims is limited to the amount you paid for the rental within the last 12 months. This limitation does not apply to liability for death or personal injury resulting from negligence or fraud.
9. Local Legal Framework
These Terms are regulated by the laws of England and Wales. Disputes will fall under the exclusive jurisdiction of the relevant courts.
